Over the summer of 2024 Falkirk Council staff email for those people who work in an education establishment has changed significantly. This page is to provide information and support for this move.
Read Time: 3-4 minutes
Why has email changed?
Corporate IT have taken the decision to migrate all Falkirk education staff email accounts to a new cloud based email service in order to provide the latest features and security required for a modern workforce.
We are moving from an old tenancy (➊) to a new one which is federated (➋) with Falkirk Council’s Corporate tenancy making it easier to work with wider Falkirk Council employees.
➊ Tenancy – a group of users who share a common access with specific privileges to software.
➋ Federated – federated identity is a method of linking a user’s identity across multiple separate identity management systems. It allows users to quickly move between systems while maintaining security.
What is changing?
This move will mean that:
- Your old email and diary content will be migrated to the new service
- Your email address suffix will change, identifying you specifically as education staff: @education.falkirk.sch.uk This change will also be made to your establishment mailboxes.
- Your PC network passwords will move to a more secure format
- You will have access to wider Council communications and be able to work and share content more easily across the Council.
- Once the change has been made, access to email will only be via Council PC Desktop, Council phone, Council laptop, and Connected Falkirk iPad.
- Staff working in education establishments over the summer will temporarily lose access to email on the date their establishment is migrated.
- Remote access to email via Connected Falkirk iPad over the summer holiday period will be disrupted.
What about Glow?
This email migration does not affect Glow services. Glow is a national tenancy (➊) managed by the Scottish Government. Education staff should continue to use Glow for curricular use with learners as standard.
➊ Tenancy – a group of users who share a common access with specific privileges to software.
What do I have to do?
Not much! Corporate IT will organise the migration and much of the process will happen automatically on an agreed date during the summer. When you return to school in August there will be a few steps you’ll have to take in order to regain access to your email account. This will include:
- Changing your network password to a passphrase style of password
- Removing your old email credentials from Outlook on desktop PC and signing in with your new credentials
- Removing your old email credentials from Outlook on iPad and signing in with your new credentials
- Removing your old email credentials from any Falkirk Council mobile device (laptop, mobile phone) and signing in with your new credentials.
Guidance for this can be found in the DigiLearnFalk Team (you must be a member of this Team to access these guides, request membership of the Team if required as this will give you access to all of the documents linked to email migration.)
- Education Email Change – Windows Guide
- Education Email Change – iPad Guide
- Education Email Change – Android Guide
These guides only apply once your school has been migrated. Corporate IT are currently working on a schedule, when this is available it will be posted here.
As your email address suffix is changing you may wish to update this with any services you use your Falkirk Council email for. While there will be auto-forwarding from your old mailbox to your new mailbox, this will only continue for as long as the old tenancy is active.
Why do I have to change my password?
The new PC network password style will be enforced in August, to bring it in line with wider Falkirk Council password standards. The passphrase style of password is more secure. More information about passphrase passwords can be found in the Education Email Change – Network Passphrase Guide. (You must be a member of the DigiLearnFalk Team to access these guides, request for membership if needed).
How do I change my password?
You can only change your network password on a network desktop in school. More information how to do this can be found in the Education Email Change – Network Passphrase Guide. (You must be a member of the DigiLearnFalk Team to access these guides, request for membership if needed).
Where do I get help if I need it?
Control of the new tenancy is with Corporate IT. The process for getting help remains the same as the old tenancy. You can contact the Falkirk ICT Helpdesk by calling 01324 501550 or logging a call on the Self-Service Portal at https://falkirk-amc.ivanticloud.com/ using your usual network username (beginning ‘st’) and network password.
