Minutes Of Meeting

1. Welcome and Introductions

Kelly Jones welcomed everyone to the Annual General Meeting and thanked members for attending.

3. Previous AGM Minutes and Actions

The minutes of the previous AGM were reviewed. Members confirmed that actions arising from previous minutes had been completed and agreed. No matters arising were raised.

Decision: The previous minutes and associated actions were approved.

4. Chairperson’s Report

Kelly Jones presented the Chairperson’s Report and reflected on her first full year as Chairperson. She expressed her appreciation to all Parent Council members for their commitment and contributions throughout the year and noted the positive impact made on the school community.

Kelly advised members that Treasurer Cheryl Reid would be stepping down from her role. Appreciation was recorded for Cheryl’s hard work and dedication as Treasurer and members were pleased that she would remain involved as a Parent Council member.

New Library
Following successful fundraising efforts, the Parent Council purchased approximately £300 worth of books for the new school library. Parent Council members also assisted with stamping and organising the books. A further order will be placed following consultation with Katie Roache regarding future library resources.

Race Night
The Race Night was highlighted as the Parent Council’s largest fundraising event of the year and deemed a significant success. The event raised over £2,000 towards the development of the new library. Positive feedback was received from parents and members of the wider community.

Sponsored Reindeer Dash
Pupils participated enthusiastically in the Sponsored Reindeer Dash, raising £1,121.85 for Parent Council funds.

Christmas Fayre
The Parent Council supported the Christmas Fayre by running a stall featuring a raffle and sensory toy sales, raising £550.88.

Easter Activities
The Parent Council transformed the Parents’ Room into a Bunny Burrow and arranged a visit from the Easter Bunny. Pupils received Easter eggs and musical sensory toys.

School Celebrations
Throughout the year, the Parent Council supported seasonal events by assisting with decorations and activities for Christmas, Halloween, and Easter.

Bingo Night and Football Cards
The Parent Council supported the school Bingo Night through raffle ticket sales. Football cards raised £80, with £40 donated towards the Senior Prom Fund.

Selection Box Wrapping
Parent Council members assisted with wrapping selection boxes for pupils during the festive period.

Buspool Karaoke
Members participated in the Buspool Karaoke event organised by Hazel Dale. The event provided an enjoyable experience for pupils and parents.

S6 Leavers’ Prom and P7 Leavers’ Celebration
The Parent Council committed funding towards both events. For the S6 Leavers’ Prom, personalised LED balloons, an easel display, and a bubble balloon will be provided. For the P7 Leavers’ Celebration, an easel display and bubble balloon will be provided. Total cost: £495.00.

Closing Remarks
Kelly thanked all Parent Council members, school staff, and families for their continued support throughout the year and noted that the successes achieved had been the result of a strong team effort.

Decision: The Chairperson’s Report was received and noted.

5. Treasurer’s Report

Cheryl Reid presented the Treasurer’s Report and provided an update on the Parent Council’s financial position.

Members were advised that the Sponsored Reindeer Dash raised £1,121.85 for Parent Council funds.

The recent Race Night raised £2,064.63 towards the development of the new school library.

Members were advised that the Parent Council had donated £253.88 towards the purchase of musical instruments for the Music Department. The instruments will support music therapy and enhance opportunities for pupils to participate in music-based learning and therapeutic activities across the school.

The current Parent Council bank balance was reported as £4,049.25.

Cheryl advised that she would be stepping down from her role as Treasurer. She stated that she had enjoyed undertaking the role and thanked members for their support throughout her time as Treasurer. Cheryl confirmed that she would remain involved with the Parent Council as an active member.

Members discussed the importance of maintaining robust financial procedures and agreed to approach Karen Taylor (Education Support Manager) to enquire whether she would be willing to review the Parent Council accounts.

Action: Contact Karen Taylor regarding an independent review of the Parent Council accounts.

Decision: The Treasurer’s Report was received and noted.

6. Head Teacher’s Report

Lynne Hollywood presented her termly update and thanked the Parent Council for its continued support throughout the session.

School Events and Parental Engagement
A busy term included Sports Days, Transition Events, P1 and P7 Information Sessions, Senior Phase Options Evening, Senior Prom planning meetings, Pupil Progress Evenings and Learn With Your Child events.

Jennifer Caldwell highlighted the school’s first Annual Charity Sponsored Walk, taking place on Saturday 20 June. Participants will set off from Riverbrae School and walk to Lochwinnoch. The event is open to pupils, families, staff, and the wider school community. Funds raised will be shared equally between Riverbrae School and Glasgow Children’s Hospital Charity. Details have been shared through Learning Journals.

Staffing Update
Planning for next session includes class groupings, staff allocations, timetabling and school calendars. Six temporary teaching posts have been approved as permanent positions. Recruitment of ASNA and ELCO posts continues. Congratulations were extended to Hayley Lennon on her appointment as substantive Depute Head of Centre within the ELCC.

ELCC and Inspection Success
Members were informed of the positive outcome of the recent Care Inspectorate visit. Strengths highlighted included strong leadership, high-quality practice, nurturing relationships, and a culture of continuous improvement.

School Improvement
Staff professional learning included nurture approaches, mental health training, manual handling, solution-oriented approaches and play pedagogy. Work has commenced on reviewing the school’s vision, values and aims.

The school website is currently under redevelopment. A dedicated Parent Council section will provide access to the Constitution, Code of Conduct, meeting agendas, approved minutes, and other Parent Council information.

Health and Wellbeing
Health Week was successfully delivered in May. All staff have completed Heartstart training.

From next session, Lorna Gavin will be allocated one day per week to focus on increasing pupil access to swimming opportunities. Working alongside a trained ASNA, a rota system will be developed to support regular class access to the swimming pool.

Pupil Achievements
Successes included Singing Hands, Hear My Music, Duke of Edinburgh Awards, sporting achievements and preparations for Senior Prom and graduation events.

School Environment and Facilities
A new nurture and breakout area has been created within the primary department. Continued improvements to outdoor learning and playground spaces remain a priority.

Plans are underway to convert the ELCC dining area into a classroom to accommodate increased enrolment.

Library shelving is expected to arrive over the summer in preparation for the new secondary library.

The school continues to engage with third-sector providers to support outdoor learning and wider achievement opportunities. Due to the significant increase in costs associated with Castle Semple, alternative providers including Forest Schools programmes are being explored.

Decision: The Head Teacher’s Update was received and noted.

7. Charity Status Update

Stuart Gilliland provided an update on the Parent Council’s application for charitable status.

Stuart advised members that he had been in regular communication with OSCR regarding the Parent Council’s charity application and had engaged in extensive correspondence throughout the process.

Members were informed that the Parent Council’s constitution had been rejected by OSCR; however OSCR have not provided specifics.

Stuart advised that he would continue discussions with OSCR to seek clarification and determine whether any amendments to the constitution or supporting documentation are required before a revised application can be submitted.

Action: Stuart Gilliland to seek further clarification from OSCR and report back to the Parent Council with any required amendments.

Decision: Update received and noted.

8. Election of Office Bearers

The election for the position of Treasurer was conducted in accordance with the Parent Council Constitution.

Members noted that Elizabeth Graham and Lynn Campbell had left the meeting prior to the election taking place. It was then confirmed that sufficient members remained present to allow a valid vote to be conducted.

Claire Ritchie was nominated for the position of Treasurer. Following a vote of the members present, Claire Ritchie was duly elected as Treasurer of the Riverbrae School Parent Council.

Action: Cheryl Reid will contact the Bank Of Scotland to have Claire Ritchie added as a signatory to the Parent Council bank account.

Decision: Claire Ritchie was elected as Treasurer for the forthcoming session.

9. Any Other Competent Business (AOCB)

Members discussed arrangements for the upcoming Riverbrae Summer Fayre on 13 June 2026.

Parent Council members agreed to attend the event and are taking responsibility for running the balloon stall on behalf of the school.

Members of the Parent Council will decorate the school with flags on 10 June 2026 at 10.00am in support of the upcoming World Cup.

The Parent Council will be supporting the upcoming Summer Fun Day for pupils. As a treat, the Parent Council will provide Porrelli’s ice cream, ice lollies, and crisps for the pupils to enjoy.

10. Date of Next Meeting

The next Parent Council meeting will take place on Wednesday 24 June 2026 at 1.00pm in Riverbrae School.
