Dumfries and Galloway Council Privacy Notice for DG Schools Connect
This Privacy Notice is for learners in Dumfries and Galloway who are applying to study with DG Schools Connect.

Who are we?
Dumfries and Galloway Council are the data controller of your personal information. This means we decide why and how we will process your personal information. This privacy notice will provide you with the information you need to know about what we will do with the personal information you provide us with.
What personal information we are collecting and why
The Council is collecting your name, Glow email address, Scottish Candidate Number, the school you attend, your year group and your current qualifications. We will use this information to consider your application to study a national qualification at DG Schools Connect.
Successful applicants will then be contacted and asked to provide their home postcode and details of any additional assessment arrangements (AAA) you are entitled to. We will contact your school to provide evidence for your AAA, and your DG Schools Connect teacher will be notified of your entitlement.
What is the legal basis for collecting your personal information?
The legal basis for collecting your information is for the performance of a public task. Without your personal information we would be unable to consider your application to study with DG Schools Connect, and for successful candidates we would be unable to provide you with access to the necessary systems to undertake a national qualification through DG Schools Connect.
Who will we share your personal information with and why?
If you are successful in your application, we will share your information internally with the teacher for the subject you apply to study. For all applications, your information will be shared with Dumfries and Galloway Council Officers for the purpose of monitoring and tracking your progress and achievements, and to evaluate the performance of DG Schools Connect.
How long will we keep your personal information for, and where will it be stored?
For all applicants, your information relating to DG Schools Connect will be held for 5 years following the end of the academic year you are applying for. It will be stored electronically within Microsoft SharePoint; for successful applicants your name and email address will also be stored in the class Microsoft Team. Once you leave DG Schools Connect, you will be removed from the Microsoft Team for your subject within 4 weeks of the SQA results or whenever your Glow account is deactivated (whichever is sooner). Your information will remain in SharePoint until the expiration of the 5 years. Only Dumfries and Galloway Council Officers required to view your data to carry out their job role will have permission to view it. All data used for evaluation purposes will be anonymised.

You have the right to:
- Be informed about how your personal information will be used
- Access your personal information
- Withdraw consent where the legal ground for collecting your personal information is consent
- Rectify your personal information, which means they have the right to request the Council to correct any inaccuracies
- Request deletion of your personal information where the Council no longer has a legal ground to hold your information
- Request that the processing of your personal information is restricted
- Data portability, this means you can securely move your personal information from one IT place to another
- Object to the Council processing your personal information
- Know when the processing of your personal information is subject to automated decision making and profiling

When you apply to study with DG Schools Connect, you will be asked to confirm you have been made aware of your rights in accordance with the General Data Protection Regulation (2018) and the Data Protection Act (2018), namely through this Privacy Notice. You will also be asked to give your consent for Dumfries and Galloway Council to process your personal information for the reasons explained in this Privacy Notice.
