{"id":1323,"date":"2024-06-12T14:35:16","date_gmt":"2024-06-12T13:35:16","guid":{"rendered":"https:\/\/blogs.glowscotland.org.uk\/sb\/professionallearning\/?page_id=1323"},"modified":"2026-08-26T17:21:27","modified_gmt":"2026-08-26T16:21:27","slug":"supply-teaching","status":"publish","type":"page","link":"https:\/\/blogs.glowscotland.org.uk\/sb\/professionallearning\/supply-teaching\/","title":{"rendered":"Supply Teaching"},"content":{"rendered":"<section id=\"builder-section-text_11\" class=\"builder-section-first builder-section builder-section-text builder-section-last builder-text-columns-1\" style=\"background-size: cover; background-repeat: no-repeat;background-position: center center;\">\n<div class=\"builder-section-content\">\n<div class=\"builder-text-row\">\n<div class=\"builder-text-column builder-text-column-1\" id=\"builder-section-text_11-column-1\">\n<div class=\"builder-text-content\">\n<p>All teachers on the supply register must have GTCS registration and adhere to the <a href=\"https:\/\/blogs.glowscotland.org.uk\/sb\/professionallearning\/gtcs\/\">GTCS expectations<\/a> of all teaching staff.<\/p>\n<p>Supply teachers are contacted annually (May\/June) by email to see whether they wish to remain on the supply register and to update information held.\u00a0 A nil response will assume a leavers is to be actioned. \u00a0If you have any queries regarding supply, please email <a href=\"mailto:HQOperations@scotborders.gov.uk\">HQOperations@scotborders.gov.uk<\/a><\/p>\n<p>Information on Pay &amp; Conditions will be issued to Supply Teachers within their contract which will be issued from Human Resources.<\/p>\n<p>It is usually the responsibility of the school to prepare and leave appropriate work for the class(es) if not this will have been agreed in advance. There should be:<\/p>\n<ul>\n<li>a plan for the day listing lessons to be taught<\/li>\n<li>details of work to be taught<\/li>\n<li>appropriate textbooks and jotters \/ worksheets \/ paper<\/li>\n<li>resources needed for the planned activities<\/li>\n<\/ul>\n<p><strong>Curricular Network<\/strong><\/p>\n<p>All Supply Teachers will be given log-in details which will allow access to the Curricular network in schools. A member of the school administrative team will be able to request this access for you.<\/p>\n<\/p><\/div>\n<\/p><\/div>\n<\/p><\/div>\n<div class=\"builder-text-row\">\n<div class=\"builder-text-column builder-text-column-2\" id=\"builder-section-text_11-column-1\">\n<div class=\"builder-text-content\">\n<h2>Pay and Conditions<\/h2>\n<p>Details of supply teachers terms and conditions can be found in the <a href=\"http:\/\/www.snct.org.uk\">Scottish Negotiating Committee for Teachers<\/a> (SNCT) handbook.\u00a0<\/p>\n<p>Supply teachers will work either on short term or fixed\/long term supply contracts with different rates of pay, terms &amp; conditions and timesheets to be submitted. Any periods of employment known to be for over 4 weeks will be appointed to a temporary (salaried) contract.<\/p>\n<h3>Travel claims<\/h3>\n<p style=\"line-height: 15.0pt;\"><big><span style=\"font-size: 10.5pt; font-family: 'Segoe UI',sans-serif;\">If you use your personal vehicle for business travel and submit mileage claims, please ensure your <strong><span style=\"font-family: 'Segoe UI',sans-serif;\">Grey Fleet documentation<\/span><\/strong> is up to date.<\/span><\/big><\/p>\n<p style=\"line-height: 15.0pt;\"><big><span style=\"font-size: 10.5pt; font-family: 'Segoe UI',sans-serif;\">To remain compliant and eligible to claim business mileage, we must hold copies of the following documents:<\/span><\/big><\/p>\n<p style=\"line-height: 15.0pt;\"><big><span style=\"font-size: 10.5pt; font-family: 'Segoe UI Emoji',sans-serif;\">\u2705<\/span><span style=\"font-size: 10.5pt; font-family: 'Segoe UI',sans-serif;\"> <strong><span style=\"font-family: 'Segoe UI',sans-serif;\">Valid Driving Licence<\/span><\/strong><br \/><\/span><span style=\"font-size: 10.5pt; font-family: 'Segoe UI Emoji',sans-serif;\">\u2705<\/span><span style=\"font-size: 10.5pt; font-family: 'Segoe UI',sans-serif;\"> <strong><span style=\"font-family: 'Segoe UI',sans-serif;\">Motor Insurance Certificate showing Business Use cover<\/span><\/strong><br \/><\/span><span style=\"font-size: 10.5pt; font-family: 'Segoe UI Emoji',sans-serif;\">\u2705<\/span><span style=\"font-size: 10.5pt; font-family: 'Segoe UI',sans-serif;\"> <strong><span style=\"font-family: 'Segoe UI',sans-serif;\">Current MOT Certificate<\/span><\/strong> (where applicable)<br \/><\/span><span style=\"font-size: 10.5pt; font-family: 'Segoe UI Emoji',sans-serif;\">\u2705<\/span><span style=\"font-size: 10.5pt; font-family: 'Segoe UI',sans-serif;\"> <strong><span style=\"font-family: 'Segoe UI',sans-serif;\">Valid Road Tax<\/span><\/strong><\/span><\/big><\/p>\n<p style=\"line-height: 15.0pt;\"><big><span style=\"font-size: 10.5pt; font-family: 'Segoe UI',sans-serif;\">Unfortunately, mileage claims cannot be processed where the required Grey Fleet documentation is not in place or has expired.<\/span><\/big><\/p>\n<p style=\"line-height: 15.0pt;\"><big><span style=\"font-size: 10.5pt; font-family: 'Segoe UI',sans-serif;\">Please send the above documentation including your name and employee number to <a href=\"mailto:HQOperations@scotborders.gov.uk\">HQOperations@scotborders.gov.uk<\/a> to allow the system to be updated and allow you to claim mileage in the future <\/span><\/big><\/p>\n<p style=\"line-height: 15.0pt;\"><big><span style=\"font-size: 10.5pt; font-family: 'Segoe UI',sans-serif;\">Thank you for your cooperation in helping us maintain compliance and ensure the safe use of private vehicles for business travel.<\/span><\/big><\/p>\n<p>Supply teachers who travel more than 20 miles to a school can claim their mileage. In the \u201cwork to work\u201d column record your total mileage then subtract 20 miles in the line below. The final amount is the amount which can be claimed.\u00a0 When claiming travelling expenses, you are required to attach a VAT receipt for fuel, if claiming mileage, and a ticket if you travel by public transport. It is normally only necessary to attach the VAT receipt to one of your claim forms. Without a VAT receipt, allowances may not be paid. Further information and guidance can be obtained from HR Shared Services Help Desk, 0300 100 1800.<\/p>\n<h3>\u00a0<\/h3>\n<h3><strong>Business World<\/strong><\/h3>\n<p>Business World is where all of your personal details are held and where you will submit timesheets, travel expenses and access your payslip etc. Any expenses should be submitted before or on the 7th of each month. (NB the December deadline is usually in late November.) Guidance on accessing and using Business World can be found <a href=\"https:\/\/glowscotland-my.sharepoint.com\/:f:\/g\/personal\/gw22professionallearning_glowmail_org_uk\/EpOY9ziq6RBHoY8J5iJQngUBi3rodnEImtLE-0MGeMMmmA?e=TXFqfX\">here<\/a>.<\/p>\n<h3><strong>Sickness Absence Reporting<\/strong><\/h3>\n<p>Supply teachers who are unable to undertake an accepted assignment due to sickness must notify the relevant school as soon as possible.<\/p>\n<p>In addition, supply teachers must notify HQ Operations Business Support of their absence and provide all relevant information, including:<\/p>\n<ul>\n<li>the date(s) of absence;<\/li>\n<li>the expected return date; and<\/li>\n<li>any required medical certification<\/li>\n<\/ul>\n<p>Notifications and medical certificates should be sent to HQ Operations Business Support at HQOperations@scotborders.gov.uk.<\/p>\n<p>If a supply teacher remains unfit for work after 7 calendar days, they must submit a Fit Note to HQ Operations.<\/p>\n<p>Where HQ Operations does not receive a Fit Note and no return-to-work date has been notified, HQ Operations will assume that the absence has ended and will process a return to work accordingly.<\/p>\n<p>Failure to report an absence and submit the appropriate certification may result in the absence not being recorded correctly. This could affect entitlement to sick pay and the processing of future claims.<\/p>\n<\/p><\/div>\n<\/p><\/div>\n<\/p><\/div>\n<div class=\"builder-text-row\">\n<div class=\"builder-text-column builder-text-column-3\" id=\"builder-section-text_11-column-1\">\n<div class=\"builder-text-content\">\n<h3>Identity cards<\/h3>\n<p>In line with SBC Data protection all school staff have been provided with a security card which should be worn at all times.<\/p>\n<ol>\n<li>Identity cards can, usually, only be issued to staff after they have been allocated an employee number. Normally, staff are allocated an employee number by Payroll at the point of receiving their first pay.<\/li>\n<li>Once you have your employee number please contact <a href=\"mailto:HQOperations@scotborders.gov.uk\">HQ Operations<\/a> who will provide you with an ID Badge request form. We would suggest asking the admin or Headteacher in which you are working to authorise and email your request to CR Property Management (<a href=\"mailto:propertymaintenance@scotborders.gov.uk\">propertymaintenance@scotborders.gov.uk<\/a>) along with a photo. Photos should be passport-type headshot taken with a white or light background. You can take them on your phone, or have someone take them, and send in jpeg format.<\/li>\n<li>Please notify CR Property Management (<a href=\"mailto:propertymaintenance@scotborders.gov.uk\">propertymaintenance@scotborders.gov.uk<\/a>) of any changes to Surname, Department or Job Title. They will arrange for a replacement card to be issued.
