End of Year Considerations"},"content":{"rendered":"<h4><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-328 size-full alignright\" src=\"https:\/\/blogs.glowscotland.org.uk\/my\/public\/mdlt\/uploads\/sites\/5597\/2020\/03\/06124125\/Glow.jpg\" alt=\"\" width=\"300\" height=\"154\" \/>As the summer holidays grow closer here is a follow up to our earlier post on end of year preparations.\u00a0 Please review this important information to ensure you take any appropriate actions.<\/h4>\n<h3><span style=\"text-decoration: underline\"><strong>All staff<\/strong><\/span><\/h3>\n<ul>\n<li>Leaving MS Teams and Google Classrooms you don&#8217;t want to be a member of &#8211;\u00a0 <strong>Leave the team, don&#8217;t Delete it<\/strong>.\u00a0 Click <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/leave-a-team-e481005d-3ec6-4694-b300-375472ba4076\">here<\/a> for instructions on Teams and <a href=\"https:\/\/support.google.com\/edu\/classroom\/answer\/6069981\">here<\/a> for Google Classroom.\u00a0 If you delete a team, you are not just deleting it from your view\/Teams, you are deleting it for everyone.\u00a0 Deleted Teams have to be restored by RM Unify which they can only do if they have the exact team name along with other details such as deleted time\/date and Glow usernames of the team owners.<\/li>\n<\/ul>\n<ul>\n<li>Learners can be removed from the Team or Classroom if you wish to use them again for the new academic year; however you may prefer to create a new Team or Classroom.\u00a0 For details on how to copy existing Teams click <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/create-a-team-from-an-existing-team-f41a759b-3101-4af6-93bd-6aba0e5d7635\">here<\/a> and <a href=\"https:\/\/support.google.com\/edu\/classroom\/answer\/9093680?hl=en&amp;ref_topic=9049835\">here<\/a> for Google Classrooms.\u00a0 Please not that there are differences between Teams and google Classroom in what is copied to the new space.<\/li>\n<\/ul>\n<ul>\n<li>Archive MS Teams and Google Classrooms that are no longer needed.\u00a0 Only delete when you are sure you will never use it again.\u00a0 Click <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/archive-or-restore-a-team-dc161cfd-b328-440f-974b-5da5bd98b5a7\">here<\/a> for instructions for Teams and<a href=\"https:\/\/support.google.com\/edu\/classroom\/answer\/6149813\"> here<\/a> for Google Classroom.<\/li>\n<\/ul>\n<ul>\n<li>If you intend to use your existing Teams or Google Classrooms again in the new year you may wish to mute all learners to ensure there are no unmonitored posts or comments added to the team during the summer holidays.\u00a0 Click <a href=\"https:\/\/support.microsoft.com\/en-us\/topic\/mute-student-comments-in-a-class-team-a378de16-ffc0-420c-b08d-e17ec08e7c17\">here<\/a> for guidance on muting in Teams and <a href=\"https:\/\/support.google.com\/edu\/classroom\/answer\/6099424?co=GENIE.Platform%3DDesktop&amp;hl=en\">here<\/a> for Google Classroom.<\/li>\n<\/ul>\n<ul>\n<li>Cleanse data from any other systems where learner data has been stored as per the retention policy or guidance provided when a new product is signed off for use.\u00a0 Personal data should either be deleted or anonymised as appropriate for the system in question.<\/li>\n<\/ul>\n<h3><span style=\"text-decoration: underline\"><strong>Staff moving to another school, role or local authority<\/strong><\/span><\/h3>\n<ul>\n<li style=\"list-style-type: none\">\n<ul>\n<li>If you are the sole owner or administrator of any of the below, you should transfer ownership to another Glow staff user(s) <strong>before<\/strong> you leave your post.\u00a0 It is always best practice to have more than 1 owner\/administrator.\n<ul>\n<li style=\"list-style-type: none\">\n<ul>\n<li>MS Teams and Google Classrooms<\/li>\n<li>Glow Blogs<\/li>\n<li>Google Sites<\/li>\n<li>SharePoint sites<\/li>\n<li>Stream video channels<\/li>\n<li>MS or Google Forms and Surveys<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li style=\"list-style-type: none\">\n<ul>\n<li>Staying within the Local Authority &#8211; Your Glow account will move to your new school however it will be inactive from the end date in your old school until the start date in your new school.\u00a0 If you will need access over the summer, you should request a grace period via missupport@moray.gov.uk.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li style=\"list-style-type: none\">\n<ul>\n<li>Moving to another Local Authority &#8211; staff Glow accounts cannot be transferred to another LA.\u00a0 You will get a new Glow account in your new LA.\u00a0 Your existing Glow account will be inactive from the end date in your old school.\u00a0 If you will need access over the summer, you should request a grace period via missupport@moray.gov.uk.\u00a0 Also, refer to Glow Connect website and scroll to section &#8220;<a href=\"https:\/\/glowconnect.org.uk\/glow-account-guidance\/\">Content that is associated with your account and will be deleted<\/a>&#8221; to ensure you back up everything you require to keep before your account is deleted.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li style=\"list-style-type: none\">\n<ul>\n<li><strong>Teaching and Non-Teaching SEEMiS generated Glow accounts cannot be transferred to a non-school based establishment in Glow.\u00a0\u00a0<\/strong>If you are taking up a role in Moray outside of a school e.g. in a supporting Education Team based in HQ, Beechbrae, etc. a new Glow account will be required.\u00a0 School based Glow accounts are generated via your record in SEEMiS and when a leaving date is added your Glow account will be closed.\u00a0 As per the advice above back-up anything you do not wish to lose and transfer ownership of Teams, Blogs, Google Sites etc.\u00a0 New Glow accounts for non-school based staff should be requested from MIS Support.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h3><span style=\"text-decoration: underline\"><strong>Learners<\/strong><\/span><\/h3>\n<ul>\n<li style=\"list-style-type: none\">\n<ul>\n<li>P7 learners going to S1 &#8211; learners Glow accounts will become inactive from their end date in SEEMiS in primary school (last day of school) until their start date in SEEMiS in their secondary school.\u00a0 If they will need access to Glow over the summer you should request a grace period for them via missupport@moray.gov.uk.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li style=\"list-style-type: none\">\n<ul>\n<li>Any learner moving to another school within or outwith the Local Authority &#8211;
