Education Scotland – Request for feedback on the next Glow Blogs Release due late Summer 2018

Collecting feedback from Glow Users

Education Scotland collect and use information from Glow users about Glow services to help to improve the functionality available within Glow. This note explains why we need this information, how we use it and what we do to protect the information supplied to us.

Why do we need your data?

In order to make the best decisions about how to improve the Glow service, Education Scotland understands the importance of involving Glow users and asking for their feedback on proposed solutions to ensure their needs and opinions are considered. As a consequence of receiving this information, Education Scotland will be better able to

· validate proposed solutions will meet the needs of Glow users

· identify issues with proposed solutions from a Glow users perspective

· investigate additional functionality raised by Glow users

· raise awareness of forthcoming enhancements in Glow

· enhance the quality of the services available in Glow

Data Policy

Information about Glow users is collected through our Glow Services. On this occasion we are using Glow Blogs to gather feedback from Glow users. Only Education Scotland staff will have access to your personal details if you have chosen to share them with us. Education Scotland staff will analyse the survey responses and might go back to the survey respondent for further discussions – but only if they have agreed to be contacted in their survey response.

Survey responses will be anonymised and shared with other Glow Blogs users in order to make the approach we are taking more collaborative and to make the requirements gathering process more efficient. Education Scotland will provide analysis of survey responses to Glow suppliers in order to inform developments in functionality. No personally identifiable information will be included in the analysis.

All survey responses you submit will be directly stored in Glow Blogs and all personal data Glow services collect will be processed according to the requirements of the Data Protection Act 1998. Any personal data that you pass to us, irrespective of format, will be processed in a way that is lawful and fair. It will only be used for the purposes for which you have provided this information and will only be held onto for as long as necessary for these purposes, which will be 12 months.

What if I do not want to provide any personally identifiable information in my response to the survey?

You can choose not to provide your name and email address as part of your survey response and we will not contact you for further discussions on the feedback you provided, however, you will still be able to respond to the survey.

What if I change my mind after I give consent to use my information – who do I contact to have my information removed or deleted?

If you have any concerns about the data collections for the purposes of this survey, you can contact enquiries@glow.gov.uk to request the removal of your survey response.
